Last updated 29 August 2026. Plain-language summary of how we handle your data and your callers' data.
1. Who we are
Buzzweave provides an AI receptionist service for local businesses. This policy explains how we handle personal information for account holders (our customers) and for people who call their business lines.
2. Information we collect
Account data: name, business name, email, phone number, billing details and team member records. Operational data: call metadata, recordings and transcripts, caller names and numbers, appointment details, lead records, notes and configuration you enter (services, pricing ranges, FAQs, escalation numbers).
3. How we use it
To answer and route calls, capture leads, book appointments, send confirmations, produce summaries and reports, provide support, secure the service, and bill your subscription. We do not sell personal information and we do not use your customers' call content for advertising.
4. Voice processing
Live call audio is processed by our voice infrastructure provider under contract and only to deliver the receptionist service. Recordings and transcripts are stored against your account so you can review them. You control whether recording is enabled and can disable it in Settings.
5. Call recording notice
Recording laws vary by state and country. Your Buzzweave greeting can include a recording disclosure, and you are responsible for ensuring your configuration meets the consent requirements where you operate.
6. Storage, retention and deletion
Account and operational data are stored on the Buzzweave platform with access restricted to your organisation. Recordings and transcripts are retained for 12 months by default; you can shorten retention or delete individual records at any time. Closing your account deletes operational data within 30 days, except records we must keep for legal or accounting reasons.
7. Security
Data is encrypted in transit and at rest. Access is scoped per business account with role-based permissions, and administrative access is logged. We review access and dependencies regularly.
8. Your rights
You may request access to, correction of, export of, or deletion of personal information we hold. Callers to a customer's business line should direct requests to that business; we will assist our customer in fulfilling them.
9. Sub-processors
We keep the list intentionally short: our voice and telephony infrastructure provider, plus our hosting and payments providers. We update this list before adding a new sub-processor that handles personal data.
10. Google Calendar data and Limited Use
If you choose to connect Google Calendar, you sign in with your own Google account and grant Buzzweave permission to read your calendars and availability and to create, update and cancel events. We use that access only to show your upcoming appointments in Buzzweave and to keep appointments booked by your AI receptionist in sync with your calendar. Buzzweave's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, do not transfer it to third parties except as required to provide this feature or for legal reasons, do not use it for advertising, and do not allow humans to read it except with your explicit consent, for security purposes, to comply with applicable law, or where the data is aggregated and anonymised. Access tokens are encrypted, stored server-side and scoped to your business account only. You can disconnect Google Calendar at any time in Settings, which deletes the stored credentials, and you can also revoke access at myaccount.google.com/permissions.
